Agency Project Management and Invoicing Software

Run a services agency on one system you own: leads, quotes, contracts, projects, time tracking, a client portal and invoices, with billable hours turning into an invoice without retyping.

An agency sells time. Nexus follows that time from the first lead to the final invoice in one application: the quote, the contract, the project, the hours your team logs, and the invoice they become. You buy it once and run it on your own server.

From lead to invoice, without retyping

  1. Win the work. A lead moves through a weighted pipeline. The quote converts into an invoice with per-line discounts and tax.
  2. Sign the contract. Send it by secure link. The client signs with a typed name, and the time and IP address are recorded.
  3. Plan the project. Tasks live in list, board, Gantt and calendar views, with dependencies that are enforced and sprints if you use them.
  4. Track the time. Your team runs a timer against tasks, and approvers review timesheets and expense claims in one queue.
  5. Bill it. Approved billable time and unbilled expenses collect into a draft invoice, one line per person per task. Each entry is marked as billed, so it cannot be invoiced twice.

What an agency gets in one login

  • CRM and sales

Leads, several pipelines, a company and contact view of every deal and ticket, and quotes that become invoices.

  • Projects and time

Tasks, Gantt, calendar and board views, dependencies, and a timer that feeds the invoice.

  • Client portal

Your clients get their own login to view invoices, accept quotes, sign contracts and raise tickets, apart from your internal admin.

  • Support tickets

Response targets by priority, first-response tracking, breach badges and canned replies.

  • Your own team

Employee records, attendance, leave, payroll and performance reviews, for the same people who log time on projects.

  • Reports

Dashboards for sales, projects and HR built from the same data, so pipeline, receivables and workload sit side by side.

Control who sees what

Permissions are enforced on every route, not only by hiding menu items. Each project also has its own access level for viewers, members and managers. Clients log in to the portal and never reach your admin.

Connect it to your other tools

Nexus has a versioned REST API with scoped tokens covering employees, leads, deals, invoices, tickets, projects, tasks and time entries. It ships in eight languages, including Arabic right-to-left, managed from a built-in translation editor.

Good to know. Nexus records payments made against invoices but does not take card payments itself, so pair it with your payment provider. Contract signing records the typed name, time and IP address; for legally qualified e-signatures, use a dedicated provider. Payroll taxes are set up as ordinary deduction components with your own rates.

What it costs

Nexus starts at $24, paid once. That includes the source code, free updates for life and 6 months of support. There is no per-user fee, so adding a freelancer or a new hire does not change the price. See all prices and what owning costs over five years.

Where it runs

Nexus needs PHP 8.3 and MySQL or MariaDB. It does not need cron, a queue worker, Redis, WebSockets or Node.js, so if your host runs Laravel and MySQL, Nexus runs there. See the server requirements. If you would rather not set it up yourself, we offer a managed self-hosted service from $20 a month where we manage your installation.

Questions

Is this the same as the page for agencies?

No. This page is for a services agency that uses Nexus to run its own business. For agencies is for developers who install our software for clients or resell it.

Can I bill hours to clients straight from a project?

Yes. Approved billable time and unbilled expenses collect into a draft invoice with no retyping, and each entry is marked as billed so it cannot be invoiced twice.

Do my clients need an account?

They get a portal login if you want them to view invoices, accept quotes, sign contracts or raise tickets. They never see your internal admin.

Can I use only the project and invoicing parts?

Yes. HR, CRM and projects share one database, and you can use the parts that fit your business.

Which licence does an agency need?

The Regular licence is for one project of your own, such as running your own agency on Nexus. The Extended licence is for installing it for a client’s business, one licence per client project. The licence guide explains the difference.

Can I try it first?

Yes. The Nexus page links to a live demo.
