Wholesale and Distribution Inventory Software

Quotations, quantity-break pricing, cartons and pieces, credit limits, customer statements and warehouse transfers for a wholesaler, in software you buy once and host yourself.

A wholesaler sells in bulk, on account, from more than one place. Stocky POS handles that side of trade as well as the counter: quotations before the sale, prices that fall as quantities rise, credit limits, a statement for each customer, and stock moving between warehouses. You buy it once and run it on your own server.

Quote, then sell

  • Quotations

A priced offer that moves no stock. It uses the same form and lines as a sale, with a status of pending or sent.

  • Quantity breaks

Products carry quantity breaks, such as 10 to 19, 20 to 49 and 100 or more, that replace the retail price at those volumes.

  • Cartons and pieces

Set up derived units, for example a carton that is 12 pieces, and sell in the unit your customer buys in.

Sell on account, with limits

  • Credit limits. A customer’s credit limit stops both the POS and the sale form from going past it. The default is no limit.
  • Partial payments. Pay less than the total and the sale is saved as partial, with the balance due on the customer’s ledger.
  • Customer ledger. Every invoice, return and payment for a customer sits on one statement.
  • Sale returns. A return is made against the original document, so the stock, the money and the reports agree.

Let customers look after themselves

Business customers get a separate login to the customer portal. They can see their invoices, payments, statement, quotations and appointments, without calling your office or seeing anything else in the system.

Buy, move and count stock

  • Purchases and purchase orders. Record suppliers, costs and returns, with the supplier’s refund recorded against the purchase.
  • Warehouse transfers. Move quantities from one warehouse to another, with a status of pending, sent or completed.
  • Unlimited warehouses with rack locations, stock counts and per-warehouse reports.
  • Batches and serials. Track batch and expiry dates, or serial numbers, where your products need them.
  • Bulk import. Bring in products, customers, suppliers, opening stock, purchases and sales from CSV or Excel.

Control your team

Create unlimited custom roles, and limit users to specific warehouses, so a depot sees only its own stock. Double-entry accounting posts from your sales and purchases, and QuickBooks and Xero sync is available if you keep your books elsewhere. Tax rates are customisable, including grouped taxes, with reports by period.

Good to know. Pricing is set by quantity breaks on each product. The documentation does not list separate price lists for individual customers, so ask us before you buy if you need those.

What it costs

Stocky POS starts at $28, paid once. That includes the source code, free updates for life and 6 months of support. There is no per-warehouse or per-user fee. See all prices and what owning costs over five years.

Where it runs

Stocky POS needs PHP 8.2 or newer and MySQL or MariaDB. See the server requirements. If you would rather not set it up yourself, we offer a managed self-hosted service from $20 a month where we manage your installation.
